Common Email Errors & Fixes
Find solutions to the most frequently reported email problems. Click on any topic below to expand the answer.
When you get an error message, the code gives you a clue about the cause. Here are the most common ones:
Connection problem â your internet may not be working, or your firewall is blocking Outlook. First check your internet, then contact your ISP if needed.
Incorrect account settings â check your incoming and outgoing server settings against our Email Settings guide.
Antivirus is blocking your email â disable email protection in your antivirus software. This frequently occurs with Avast Antivirus.
SMTP authentication is not enabled. Enable "My outgoing server requires authentication" in your email settings.
Various causes â often related to the email program itself, or SSL connections being enabled. Try disabling SSL on your outgoing server.
"None of the authentication methods supported" â change your Outgoing (SMTP) port to 587.
The email address you're sending to does not exist. Check the spelling. If still failing, the account may have been deleted.
The recipient's inbox is full and cannot accept new emails. The recipient needs to clear their inbox before you can send again.

Click More Settings, then select the Outgoing Server tab

Check "My outgoing server requires authentication" and "Use same settings as my incoming mail server"

Go to the Advanced tab â set Outgoing SMTP port to 587, Incoming POP port to 110

Click OK, then Next and Finish

Click File â Info â Account Settings â Edit Account Settings

Double-click your email account to open settings

Click More Settings â Outgoing Server tab

Check "My outgoing server requires authentication" and "Use same settings as incoming"

Go to the Advanced tab â set SMTP to 587, POP to 110, IMAP to 143

Click OK, then Next and Finish
Approximately 40% of email problems are caused by typing errors â Caps Lock, spaces, or wrong username format.
Your username must be your full email address â e.g. name@yourdomain.co.za â not just info
All email addresses are lowercase â no capital letters in the username
Make sure Caps Lock is off when typing your email address
Ensure there are no spaces before, in, or after the email address
Check your password carefully â capitals and symbols must be exactly right, with no extra spaces
If your password still doesn't work, email support@kwikweb.co.za from an alternative address to verify it
If the example in a guide shows info@example.co.za and your address is info@theflowershop.co.za â do not use info@example.co.za or info@example.com.
âšī¸ Always use your exact email address with the correct domain name and the correct extension (e.g. .co.za not .com).

Open Outlook and right-click on Inbox, then choose IMAP Folders

Uncheck "When displaying hierarchy in Outlook, show only subscribed folders"

Save settings and press F9 to force a Send/Receive check

Go to File â Account Settings â Account Settings

Click Change, then More Settings â Advanced

Under Folders, find Root folder path and type Inbox

Click Save, then press F9 to check Send/Receive

âšī¸ We recommend using IMAP on all devices â this keeps emails synchronised across all your devices automatically.
If you prefer POP3, you must enable "leave a copy on the server" â otherwise emails will only download to the first device that checks:
Go to your email account settings â More Settings â Advanced
Tick the box: "Leave a copy of email messages on the server"
Save and restart your email program
If you're missing emails in Outlook, they may be getting caught in your webmail Junk folder:

Log into your webmail at mail.your-own-domain.co.za (e.g. mail.theflowershop.co.za)

Open the Junk folder and look for missing emails

Drag the emails you need into your Inbox â they'll then come through to your email program normally

Go to Settings â Spam â Address Rules and add the sender's address under Accept Mail From

Save â those addresses will now go directly to your Inbox
If your Outlook 2016 account is behaving unexpectedly, Microsoft's repair tool can resolve many common issues.
If you get the error "Mail can't verify the identity of the server", try these steps in order:

In Mail, go to the Advanced tab for the account and check the following:
Automatically detect and maintain account settings â must be unticked
SMTP Port: 587
Use SSL: Off
Authentication: Password
Allow insecure authentication: On
