Go to www.kwikweb.co.za and log in with your website username and password.

Click Email Account Admin

Click Create new email account
This video shows how to log in to your client management portal and navigate to the email admin section.
ℹ️ For security reasons, email passwords are encrypted and cannot be retrieved or viewed by anyone, including our support team. If you no longer have a record of your password, you will need to reset it to a new one.
Please refer to the Changing your Email Password section below for step-by-step instructions on how to set a new password.

Log in at www.kwikwap.co.za

Go to Domain & Admin Settings → Email Account Admin

Click the pencil icon next to the account (not the cross)

Enter your new password — it updates instantly

Update the password in your email client and on all devices
⚠️ Update the password in Outlook, Apple Mail, and your phone immediately after changing it.
If your email password has been reset or changed, update it in Outlook as follows:

Have your new password ready

Open Outlook → click File → Info → Account Settings

Select the email account → click Repair
- 4
Click Advanced options → tick "Let me repair my account manually"

In the Password field, remove the old password and enter the new one → click Next / Repair

Allow approximately 15 minutes for Outlook to sync with the new information

Have your new SMTP server details and port number ready

Open Outlook → click File → Info → Account Settings

Select your email account → click Repair

Click Advanced options → tick "Let me repair my account manually"

Click Outgoing mail → remove the current SMTP server and port → enter the new details

Click Next / Repair → allow approximately 15 minutes to propagate

Log in at http://mail.your-domain.co.za using your email address and password.
Address Rules (block / allow senders)

Go to Settings → Junk → Address Rules
- 2
Choose Accept or Reject → enter the email address → click Add Rule

Click Save at the bottom — rules will not apply if not saved
Spam Score Threshold

Go to Settings → Junk → General Settings → Score Threshold
- 2
Default is 5. Move higher (6–10) to allow more to inbox. Move lower (1–4) to push more to junk.

Click Save — threshold will not apply if not saved
Out-of-office replies are set via your email client. Click your program below for step-by-step instructions:
Your username is always your full email address — e.g. name@your-domain.co.za

Log in to mail.your-domain.co.za

Go to Settings → Identities → click your email address

Add your signature text and click Save

To add a logo or image, click HTML Signature and upload your image in the HTML window → click Save

Go to Settings → Composing Messages → set Compose HTML messages to Always → click Save
Email headers contain technical routing details — useful for diagnosing delivery issues or tracking spam origins.
Outlook: double-click the message → File → Properties
Gmail: open message → three-dot menu → Show original
Webmail: View source / headers option in the message menu

If your inbox is receiving a lot of spam, adjust your spam score threshold in webmail: Settings → Junk → General Settings → Score Threshold.
ℹ️ Default = 5. Raise to 7–8 if too much spam reaches your inbox. Lower to 3–4 if legitimate emails are being blocked. Always click Save after adjusting.

⚠️ Changing MX records affects incoming mail only. Update these in your DNS zone at your domain registrar.
⚠️ These are ISP outgoing servers for South Africa only. We strongly recommend using smtp.yourdomain.co.za with port 587. All servers below use port 25 unless otherwise specified.
